Importance of a Grease Trap

Grease traps are a requirement for any holiday rental accommodation. A blocked grease trap could fast become an expensive plumbing undertaking; therefore, scheduled grease trap cleaning could save our clients money. The residual grease from cooking will harden in the pipes, leading to a steady grease buildup, and eventually blocked pipes. You also run the risk of having the sewage system blocked, when your kitchen doesn’t have a grease trap, or more importantly one that is not cleaned as part of preventative maintenance.

Importance of Scheduled Cleaning

The installation of a grease trap is only the first step, however, our property managers will then set up a preventative maintenance schedule to ensure routine cleaning is carried out. Depending on the occupancy levels and the frequency with which the kitchen sink is used, in order to avoid blockages, emptying and cleaning the grease trap forms part of our team’s regular scheduled property maintenance.

Tips from the PM Team

Scheduled cleaning of grease traps will keep them functioning efficiently and save our clients money in the long run by avoiding costly plumbing repairs.

Tip #1: The grease trap is not for grease storage.

While a grease trap is designed to trap grease, we advise staff not to pour grease directly into the drain, but instead store in the appropriate containers to avoid the grease trap from reaching its maximum capacity too quickly. This will reduce the likelihood of having to deal with clogged drains.

Tip #2: Remove excess grease and solid food.

Staff and guests alike are reminded to reduce solid material from going into the drain that will end up in the grease trap. While the grease trap is intended to hold the oils, fats, and grease, the use of a strainer is your best bet to eliminate the excess solids entering the trap.

Keep solid food items along with excess fats, oils, and grease that could be removed from the dishes before being placed in the sink. Keeping food out of the grease trap will maximize the time between cleanings.

Tip #3: Schedule Preventative Maintenance.

Some companies and contractors are not consistent in their workmanship with the construction of grease traps, and often time design flaws create a lot of issues, which result in having to clean the grease traps too frequently.

It is still important to maintain minimum standards for cleaning times, even if there’s not much oil, fat, or grease inside the tank, it will still turn rancid and emit a pungent odor. Our property managers actually keep a log through the use of a mobile work order app, which comes in handy for reporting to owners and tracking any technical issues.

The importance of keeping a complete, catalogued, inventory listing of all of the items (including appliances, equipment, furniture, soft furnishings, cutlery, and linens) at your home cannot be overstated. All items in all areas, such as garages, storage gazebos, and should be included.  This is very important when requesting insurance coverage and having the necessary documentation should an insurance claim need to be made.

For Blue Sky Luxury holiday rental properties, your property manager will count, inventory, and log all of the property’s effects and complete a thorough check of the quantity and condition of the items. Your property manager will be required to conduct spot checks after each guest departure and will notify you of any proven damages or losses. Any replacements needed at that time will be purchased. These replacements and any other additions that may occur during the year will then be  on the annual inventory listing when retaken.

For homes that rent long-term, full inventories are always taken and updated in between tenancies. In both cases, your property manager will be responsible for checking the home after each departure so that the reconciliation of the security deposit can be completed, with wear and tear expected depending on the length of time the tenants resided there. Similarly, any replacements and additions will be captured on the updated listing for the next expected tenant.

When offering your home for holiday rental, it is important to know and provide adequate par levels for all glassware, cutlery, dinnerware, linen, and towels. For example, you want to ensure that the home has place settings, matching glassware, and cutlery for the advertised number of guests that can be accommodated at the property plus 50%. For example, for a 4-bedroom rental property that accommodates 8 guests, the catered capacity will be 12 people.

Similarly, when a property is offered for long-term rental, adequate rent levels, while different from the expectations of a holiday rental home, are also expected.

When the inventory listing is created, the location, make, and model of all appliances and equipment are noted. During this process, it is a great opportunity to create an asset register for these items. The asset register will have all of the above details and photos, plus the serial numbers. Information, where available, on the age and value of each will be recorded.

Servicing Your Appliances will extend their Life Span! Do You Own a Clothes Dryer?

There are some simple tasks that the housekeeper can do but neglecting to service your appliances, especially clothes dryers could end up in an emergency call to the fire station. When you engage the services of a dedicated Blue Sky Luxury property manager to look after your investment, we will schedule routine maintenance with a certified appliance technician on your behalf!

Step 1: Remove lint from the lint trap: Here are some simple tasks for the housekeeper to do as part of the daily maintenance! 

A lint-free trap provides better airflow for optimal performance, so a thorough cleaning can go a long way. To clean the lint trap:

Step 2: Wipe residue off the dryer drum

Dryer sheets and fabric softeners can contribute to a filmy residue on your dryer’s drum over time. Start cleaning by vacuuming out any debris. If your dryer is electric, rub the drum with a soft cloth dipped in warm soapy water and tumble a load of clean clothes or towels to dry the drum.

As it is starting to get more technical, you should call in the experts!

Step 3: Turn off and unplug the dryer:

Shutting off the power to the dryer while cleaning prevents accidental operation while parts are removed or disconnected, so it is important to unplug your dryer from the wall socket before you get started. If you have a gas dryer, it will be important to close the shut-off valve in the gas supply line before cleaning.

Step 4: Pull out the dryer to access the vent duct:

The technician will create about one foot of room between the back of the dryer and the wall to make space for clearing out debris. 

Step 5: Remove the clamps and detach the vent:

With the dryer away from the wall, the technician will unscrew vent clamps or remove the tape attaching the vent to the back of the dryer.

Step 6: Clean debris from the vent

The technician will start by removing any large pieces of lint by hand, and then use a dryer cleaning brush to remove remaining lint from the vent. The next part of the process would be to use a vacuum hose attachment to collect lint or dust trapped in crevices. 

Step 7: Inspect and clean the exterior vent:

The technician will clean the exterior by opening the vent cover and removing large pieces of lint. They will then run a dryer cleaning brush along the inside of the ductwork and remove any remaining lint or debris with a vacuum hose.

Step 8: Reattach the vent and turn on the dryer

Once the venting is re-clamped or re-taped to the back of the dryer, plug back in your dryer and, if using a gas dryer, the gas valve will be turned back on. 

Failure to schedule routine maintenance on your dryer could lead to a fire hazard!

Preventative Maintenance

Through our specialised property management software, all maintenance is scheduled and checked, and the system is augmented with the use of digital photography, checklists and the development of standard operating procedures for each property. We will ensure all preventative maintenance schedules, routine inspections, repairs requests and service requests are logged to track and record the resolution of reactive maintenance issues from submission, assignment, monitoring, verification, and through to completion. The assigned Property Manager will also complete certain checklists regularly through our mobile app. This specific technology is part of a full system that allows for all of our resources to be coordinated online.

With the real estate market in constant flux, Owners need to have a sense of the value of their investment and how this may change over time. Through our Valuations team, reports can be prepared once every 3 years and can be used for various purposes. Staff Management, Payroll & HR Support

Blue Sky Luxury manages the payroll for permanent villa staff and the setup for owners in the BRA Tax Administration Management Information System (TAMIS.) This service covers all required owner-employer obligations (NIS and PAYE.) Our administration services also include issuing pay slips to staff weekly. Additionally, we ensure that permanent villa staff have up-to-date employment contracts with applicable job descriptions that align with the labour laws of Barbados. Training for permanent staff is provided by participating in The Blue Standard and COVID-19 service training. The weather in Barbados is hot and humid. While this makes for a great holiday home location, it also means that your air condition systems have to work really hard to ensure the air inside your home is cooler than the air outside.

Our Barbados climate can cause unique challenges for the electrical and mechanical appliances on our properties. The extreme heat we experience here can put a lot of stress on your AC unit and the moisture in our air often creates rusting issues that can lessen the life of your AC unit.

All these challenges can be easily avoided with a bit of TLC and of course, regular maintenance to prevent serious problems.

Jonathon Gonsalves, Managing Director of Coast-to-Coast Cooling notes the simple and basic procedures that are carried out during a routine service to ensure that an air conditioning unit is efficient and effective –

As property managers, we see all kinds of avoidable issues with our AC units such as garden debris, bird nests, and insect infestation. These problems can end up being costly and incredibly inconvenient – not to mention – HOT.

For those with rental properties, it is crucial to have your air conditioners serviced routinely. We suggest at a minimum every three (3) months.

Unfortunately, doors get left open with the AC on at full blast when guests are enjoying themselves and don’t think about the consequences of such a seemingly innocent mistake. This ends up causing sweating, condensation issues and generally overworking the unit.

A regular AC service from your provider significantly improves your power efficiency and the air quality drawn into your home. It also reduces the likelihood of failure of the equipment and its parts.

It makes sense to have your unit services routinely to avoid clogged filters, clogged drains, unpleasant smells, mold growth, reduced air movement and flow, icing of coils, and clogged coils which may lead to overheating and compressor failure.

As Jonathon noted, with COVID affecting us worldwide, it is that much more important that we avoid stagnant air wherever we are.

As property managers, we are often on the go. We need to keep abreast of what is going on at our properties and have adequate follow-through. We need to have some organization and with this app, these things are possible.

This app helps us by being able to determine our arrivals, departures and in-house guests with a click on our phone. It also helps us to keep track of maintenance at our properties, we can upload photos and add notes. We can also complete our many, many, many checklists. At the end of it all, we can generate a report for our owners based on all that we have done. Essentially it helps us in maintaining our Blue Standards.

What are our Blue Standards? We have a blog for that! Now we also have an app for that. In the app, we have our Health and Safety Checklist, our Fire and Safety Checklist, Hurricane Preparedness Checklist, Audit Checklist, Arrival Checklist, Departure Checklist, and the list goes on. Cannot recall when the air conditioning units were last serviced, you do not have to worry if you have it stored in the app. For those tasks that we need to perform on a reoccurring basis, the app can also record these and remind us when they are due.
